Within a booking/enquiry in the Booking details tab, you will find Customer details:
It is advisable to add both a first and last name and to provide at least an email address or phone number. It is recommended to enter both an email address and a phone number so as to have two points of contact with the customer however the system only requires one or the other to be able to SAVE the enquiry.
You can add more than one email address to the customer details by clicking on the small green ‘+’ symbol above the Email field.
You can add more than one phone number to the customer details by clicking on the small green ‘+’ symbol above the Phone number field.
If you know the customer’s company or are able to identify this by the email address provided, you can make a record in the ‘Company’ field. This is a useful way of building up a corporate database. The company name will show in an excel column in your Customer Download spreadsheet. Click here for more information on Downloading your Customer Database.
If you know the Company address, you can also click on 'Address' to enter the Street, City and Postcode. These details will be used to auto-fill the address field when creating Invoices/VAT receipts for the customer. Click here for more information on creating Invoices/VAT receipts.
The ‘Source’ is where an enquiry originates from. If an enquiry is made through the widget on your website or through your Venue page on DesignMyNight, the Source field will come pre-filled with ‘Own Website’ or ‘DesignMyNight’. When selecting this manually, you can choose between a drop-down list.
If you work with any third parties or would like to add a custom source such as ‘Over the Phone Bookings’ for example, here is a Guide on how to add these to your drop-down list.Please Note: If you cannot see the option of ‘Venue Group’ in your settings, it means you do not have the relevant permissions to access your Venue Group settings. Please contact a user to access the Settings for you or they can edit your User Account by providing access to ‘All Venues’ on your account.
