Booking Types - Setting up an Enquiry only Booking Type for Customers to Order Takeaway & Deliveries

If you offer a delivery/takeaway service, you can also receive orders into Collins by creating a Delivery/Takeaway Enquiry booking type.

Before you create the booking type, you'll need to build your delivery/Takeaway menus within your settings. You will require our Collins Pre-Orders Bolt-On to create this booking type, speak to your account manager to activate this excellent feature.

To request the address for the order, there are two ways to achieve this:

> You can add a custom field to your widget in order for customers to input their address at the point of enquiring/ordering. This field can be named “Delivery Address (For Delivery orders)”. Alternatively, you can contact customers directly for their address. Please note that this field will be present for all enquiries/bookings and not just for Delivery orders.

> You can set up a Booking Policy specifically within the Booking Type you’ll create (detailed below) - this could read “We will need your delivery address. Please enter your address within the Special Requirements section above before submitting your order enquiry”

Once the above has been actioned accordingly, you can now create the booking type to allow customers to submit enquiries with their pre-order requests, for Collins users to manually “Accept” or “Reject” based on the order.

To set this up:

  • Go to Settings > Venues > Your venue > Booking Types

  • Click 'Add booking type' > you’ll need to create a Blank booking type and name accordingly i.e. Delivery enquiry

  • Tick Remove Fields “Duration (Until Time)” so customers can only select the time they wish to order their delivery for

  • “Restrict advance bookings X days in advance” input the number 1 if you wish to only take orders up to 24 hours in advance (Optional). Alternatively, input the number of days in advance you want the customer to be able to book for.  

  • Emails - Be sure to set up Automatic Confirmation and Automatic Cancellation emails so the customer keeps updated on the status of their order. Use these to inform customers of your T&C’s when it comes to ordering for takeaway/delivery.

  • In the Availability section – fill in the bookable times, and the Max enquiry size; should be the largest group size you would be happy to receive an order/enquiry from.

  • The “Bookings Policy” can be filled in to inform the customer of any T&C’s e.g delivery distance, payment requirements, and/or as mentioned above to direct customers to enter their delivery address. Customers must tick to agree to these terms before being able to place an order/submit an enquiry.

As this is an Enquiry-Only booking type it means you can manually decide which orders you wish to accept, therefore you do not need to add in any Auto-confirm rules.

Adding a Pre-Order Menu

  • Within the booking type, scroll down to Pre-Order Settings. As you cannot set up payment rules for Enquiry-Only booking types, keep payment required as “None”. (If you wish to make it mandatory that customers pay at the point of booking, refer to this article)

  • Input a service charge amount if you so wish which will be visible and editable/removable when the customer makes their Pre-Order from the online menu.

  • “Make Pre-Orders Available” be sure to tick “While Booking” to ensure you receive a Pre-Order with every new enquiry.  

Next, you need to set up Menu Rules, to begin, select “Add Menu Rules”:

  • Menu - Select the delivery menus you have set up for the customer to order from for this booking type. (You can add in Multiple Menus by clicking on “Add Menu Rules” Button underneath and repeating this process)

  • Minimum Order - If you wish to set a minimum spend either per booking (per order), or per head (the number of guests in the enquiry) add in your rules here.

  • Number of guests, leave blank if you wish to allow this rule to work for all group sizes. (You can add in multiple Menu Rules depending on guest amount, for example, guests 1-5 minimum order £15 per booking and another menu rule of 6-10 guests minimum order £30 per booking)

  • Weekdays - Tick all of the days you want this menu to appear when customers enquire. This will usually be the same as your Availability days.

  • Between dates and Between times can be left blank to work from your Availability rules.

  • Days before booking can be left blank so customers can Pre-Order for a same day enquiry.

  • Be sure to SAVE your new booking type when you have completed these steps.

If you wish to take payment before confirming the enquiry/order, you can manually send an email to request payment from within the “Payments” tab in each enquiry received.
